What warmup actually changes
Warmup does not make a domain trusted after a fixed number of days. It establishes a recent sending pattern so that a receiver is not asked to absorb a large behavioral jump the first time you contact real prospects. The signals that matter during warmup are ordinary: authentication stays valid, hard bounces stay rare, recipient responses look plausible, and the pattern changes gradually rather than in cliffs.
Because the domain and each mailbox are building history at the same time, the first goal is observability, not volume. A small batch that surfaces a misconfiguration is worth more than a large batch that buries it.
Mailbox warmup and domain warmup are different things
A mailbox and its parent domain share signals but are not interchangeable. Adding a fresh mailbox to an established domain does not give that mailbox the domain's behavioral history, and a new sending subdomain on an old root domain still has its own SPF, DKIM, Return-Path and traffic history that receivers have not seen.
The practical consequence: warm each new mailbox on its own gentle ramp, count its sends inside the domain-level total, and do not assume domain age substitutes for mailbox-level evidence.
Gate every increase on the previous batch
Before increasing volume, inspect the previous step for authentication failures, permanent address failures, unusual deferrals, complaint signals where available, and real replies. Small senders should read raw counts, not only percentages: two hard bounces in ten messages matter when the baseline is zero.
If a negative signal appears, hold the next step and determine whether the cause is recipient data, DNS, provider policy or the queue. Increasing while the cause is unknown converts a useful diagnostic event into a larger reputation experiment.
Hand off from warmup traffic to real outbound gradually
A common mistake is treating warmup volume as spare capacity and stacking a prospect campaign on top of it, which can more than double a mailbox's visible behavior overnight. A safer transition replaces some of the low-risk warmup traffic with real prospect traffic while keeping the total envelope predictable.
Introduce verified prospects in tranches small enough to inspect manually. If the first ten prospect messages produce one invalid address and two genuine replies, you have both a hygiene action and a response baseline — and you have not exposed the whole list before you know how the domain behaves with real recipients.
Resuming after a pause, a weekend, or a quiet period
Recent behavior is what receivers weigh, so the same caution that applies to a first ramp applies after any gap. Resuming from the highest planned step after a weekend recreates exactly the spike warmup was meant to avoid.
Resume from the last level that behaved normally, spread the first day back across the business day rather than front-loading it, and watch the same signals you watched during the initial ramp.
Common questions
Is automated warmup (inbox rotation) enough on its own?
It builds a sending pattern, but it does not fix a broken DKIM selector, a stale list, or a volume plan that jumps too fast. Automated warmup is one input; authentication, list quality and gradual increases still have to be handled separately, and campaign volume should not simply be added on top of warmup volume.
How much should I increase volume between warmup steps?
Small enough that the pattern stays recognisable. Moving from 12 to 18 preserves a very different signal from moving from 12 to 40. The exact figure is less important than never increasing right after an unexplained bounce, deferral, complaint or authentication change.
Do I need to warm up a new mailbox on a domain that is already warm?
Yes. The domain's history does not transfer to a mailbox that has never sent. Give the new mailbox its own gentle ramp and count its sends inside the domain total so the domain-level volume does not jump.
When should I pause a warmup ramp?
